Sorting Assets into Categories

Even if you have mounted your groups of assets into different folders, you may still want to organize those assets into different categories. To do this, you will first need to create those new categories.

Creating New Categories

  1. From the Tools menu in the OpenEdit DAM header bar, select "Edit Categories".


  1. To add a new Category, select the category into which you want the new category to appear. (e.g. If you want a new top level category, select the "Index" category.)
  2. Click "Add New Child Category".


  1. A new category will be created inside of the selected category. In the example below a new category has been created within the Birds category, making it a "subcategory" of Birds. By default this new category will be named "New Category", but you will immediately see the Edit Category screen for "New Category" where you can enter any name you would like.


  1. Be sure to click the "Save Edits" link after you have entered a name for your new category.

You can also delete unwanted categories from this screen. Simply select the unwanted category from the tree, and click "Delete Selected Category".



Adding Metadata to Your Assets

One of the primary advantages to having all of your digital assets available online is that your users can easily search for the asset they need. In order for that to work, you need to have metadata for your assets. OpenEdit offers several methods to input this metadata.

Editing a Single Asset

The first method is to edit the metadata for a single product. Often, this will be the most pragmatic approach for entering metadata because it is usually specific to a particular asset.

  1. You will need to be logged in as an Administrator, or other user with the Edit Products permission.
  2. Use the Category Browser or Advanced Search to get to the Product Details page of the asset you want to edit.
  3. Click the "Edit Product" link.


  1. You will now see the data tab in the Product Manager. Edit any of the fields you want. Note: The available fields, and which of those editable, is fully customizable. This will be covered in a later chapter.


  1. Be sure to click "Save Edits" when you are finished. You should now be able to search for any of the metadata you have entered and find your product.

Keywording Multiple Assets

The second approach to adding metadata is to keyword several assets at once. Obviously this is quicker than editing one asset at a time, if the desired metadata applies to more than one asset.

  1. You will need to be logged in as an Administrator.
  2. From the Tools menu in the OpenEdit DAM header bar, select "Edit Products".


  1. You can run a search to get the assets you want to edit on the screen.
  2. Add keywords for any assets you wish.
  3. Be sure to click the "Save Edits" button when you are finished. You will need to save before moving on to another screen.
